OVERVIEW :

The University of St. Thomas invites qualified candidates to apply for a Coordinator II position within University Advancement.

The University Advancement Team offices out of the Minneapolis Campus . The person in this role will have the flexibility to work in a hybrid capacity, at least four days in-office on campus and one day remotely. Work schedules will always be dictated by business needs.

Salary Range: $20-$25.75 an hour

JOB SUMMARY

The University Advancement Coordinator provides administrative support to the development team within University Advancement, with a primary focus on supporting Corporate and Foundation Relations. Primary responsibilities include providing office support and administrative assistance, providing internal and external customer service, coordinating travel arrangements, preparing meeting and donor materials, managing team space, and coordinating mailings.

The Coordinator provides administrative, research, and communications support to the Corporate and Foundation Relations team, ensuring accurate data management, timely execution of projects, and coordination with development staff and external partners. Additionally, assists with proposals, reports, and stewardship activities as needed.

ESSENTIAL FUNCTIONS

Development Team Support

  • Provide administrative support for development officers. Assist with follow-up tasks required after a donor visit, create and work with complex and/or confidential documents and data, prepare letters, and coordinate special mailings. Manage logistics, catering, reservations, RSVPs, and other necessary details for internal and small donor special events, following department and university processes and policies. Process invoices, reimbursements, reconcile credit card transactions, order supplies, and monitor spending to ensure purchases are within budget parameters and policy. Coordinate travel as requested. Manage logistics for meetings including presentations and collateral.
  • Serve as part of the team that manages office space and reception area for University Advancement. Greet internal and external visitors, coordinate visitor parking, answer telephone calls to Development, and create a welcoming environment for staff and visitors. Provide back-up support to the other administrative assistants. Maintain excellent working relationships with all members of the team, university community, donors, alumni, and constituents. Onboard new University Advancement staff members to ensure a successful transition onto the team. Work closely with all University Advancement teams in support of giving efforts, engagement, and events; staying up to date on University and University Advancement policies and procedures.

Corporate and Foundation Relations

Provides support to the corporate and foundation relations team:

  • Supports the CFR team ensuring the communications, projects and administration needs of the team are executed in a timely, accurate and professional manner.
  • Ensures the accuracy of corporate and foundation constituent data that is entered or extracted from the database, making corrections or additions of data as needed
  • Coordinates and produces research, briefings, stewardship and correspondence.
  • Provides back-up support in submitting proposals as overflow requires.
  • Contributes to proposals and progress reports as requested.
  • Coordinates with development staff and external constituents
QUALIFICATIONS :

Minimum Qualifications

  • High school diploma or equivalent
  • Three years of administrative support experience

Preferred Qualifications

  • Post-secondary work preferred
