Acara Solutions is seeking highly qualified candidates to work onsite  with our client in Boston, MA. Interested?

Here's what you'd do:  

  • The Facilities Associate/Coordinator will support the Workplace Experience and Real Estate team in all aspects of the daily operations
  • This will need to ensure a safe, secure, clean, and efficiently optimized office.
  • Significant time and focus will be spent on all aspects of mail/shipping services, receiving, sorting, and distributing mail to appropriate business units within the organization - assuring a quality and efficient process for all recipients. 
  • This role will also assist with maintaining a highly diverse and flexible office space, focusing on matters relating to maintaining facility standards - performing routine checks of building conditions, helping coordinate service requests, and ensuring the overall functionality of the space.
  • Mail and Shipping Support: (50 percent)
    1. Function as the initial point of contact for all incoming mail at the client.
    2. Sort and prioritize mail into unique and evolving categories for specific business units across the organization.
    3. Scan and disperse mail to meet specific departmental needs and cadence.
    4. Respond to service requests regarding incoming mail
    5. Support secure document destruction for mail/packages requiring disposal
    6. Ensure a clean and organized mailroom and records storage area.
  • Workplace Operations and Experience: (50 percent)
    1. Assist in managing the day-to-day facility operations, including inspecting and ensuring the cleanliness and functionality of offices, common areas, and amenities.
    2. Staff the concierge desk as needed, especially during shift changes, breaks, events, or contractor absence.
    3. Respond to facility-related inquiries and service requests through employee and property management-generated tickets.
    4. Ensure communal spaces are well-maintained and supplies are stocked.
    5. Help maintain inventory of office supplies, equipment, and facilities materials.
    6. Assist with event setups, breakdowns, moves, and furniture setup as needed.

Job Requirements

Required Skills / Qualifications:

  • High School Diploma or GED
  • Minimum 2 years of experience in mail coordination or related shipping services.

Preferred Skills / Qualifications:

  • Administrative or front desk experience
  • Experience in the hospitality, retail, or restaurant industries
  • Experience utilizing the Google suite (Gmail, Google Calendar, etc.)
  • Comfort level with accurately completing and organizing paperwork .

  • Upon offer of employment, the individual will be subject to a background check and a drug screen.

  • Ability to occasionally move boxes of mail weighing less than 50 lb
