We are looking for a high-performing Document Specialist. The Document Specialist will be responsible for creating, organizing, managing and maintaining documentation of the company’s paper and digital files related to processes, procedures, policies, and regulatory compliance requirements.
The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to work effectively in a dynamic, fast-paced environment.
1. Maintain document control processes, to ensure that documents are current, accessible and properly managed throughout their lifecycle.
2. Change and update documents as needed.
3. Participate in internal audits and regulatory inspections.
4. Oversee the storage and retrieval of documents, making sure everything is labeled and stored correctly.
5. Maintain document retrieval systems and procedures to facilitate easy access, retrieval, and distribution of documents.
6. The ability to manage multiple documents, versions, and revisions effectively, ensuring that documentation processes are streamlined and efficient.
7. Review, edit, and format documents accurately, identifying errors, inconsistencies, and non-compliance issues.
8. Issue and maintain records of customer submittals
9 . Maintain customer owned material inventory process, to ensure that inventory is correct and current.
10. The ability to communicate and collaborate effectively, convey information clearly and accurately and facilitate document reviews, approvals, and revisions.
11. Other duties as assigned.

1. Degree or certification in business administration, communications, or technical writing.
2. 3-5 years of administrative experience, bonus if the experience involves document preparation, editing, and proofreading.

4. Strong written, verbal and presentation skills.
